Commercial Security Has Different Risks

A home has one or two occupants who know each other. A business has multiple staff, contractors, suppliers and visitors — all with different access needs and all creating different security exposures. Managing this correctly requires a fundamentally different approach from residential lock installation.

The Key Control Problem

In most small businesses without a managed system, key control is informal and deteriorates over time. Keys are cut when the business moves in. More copies are made for new staff. Some are returned when staff leave; most are not. Within two or three years, an unknown number of people hold working copies of keys to your premises.

Access Control by Role

Not all staff need access to all areas. A server room, cash office, stock room or confidential file store should have different access permissions from a general office. This is achieved through:

  • **Master key systems:** Individual keys for personal areas, hierarchical keys for managers
  • **Electronic access control:** Key fobs, PIN pads or card readers that allow access to be changed remotely and create an audit trail
  • For businesses with more than 8–10 staff, electronic access control becomes practically superior. The cost of entry-level keypad systems has fallen significantly. An audit trail — showing who opened which door and when — is particularly valuable.

    Staff Departure Protocol

    When any staff member with key access leaves — particularly someone with access to sensitive areas — the correct security response is:

    1. Recover all keys issued at departure

    2. If there is any doubt about complete key recovery, change the relevant cylinders immediately

    The cost of a cylinder change (£55–£85) is trivially small against the cost of a break-in or theft. Most businesses do not do this consistently and regret it.
